ADD/EDIT A REGISTRANT

How To

This module is useful for you, if you would like to learn how to :

  • add a new registrant to BCTS Admin
  • edit an existing registrant in BCTS Admin
  • view registrant details

Add a new registrant

Follow these steps to ADD a new registrant:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Registrant button on the main menu bar.
  3. Enter a Client Number.

    There are a few key points to remember about Client Numbers:

    • The Client Number is an 8 digit number and it always starts with zeros.
    • You can only add a new registrant for your Timber Sales Office (TSO). You can view registrants from other TSO's but you can't add or edit these registrants.

      System Message

      What does it mean?

      This is not a valid Client Number...

      The Client Number is not in a valid format or does not exist in the Client System.

      You should...
      Go to the CLIENT SYSTEM and search for the Client Number you require. Enter that number, in its exact format, into BCTS Admin.

      This Client does not exist...

       

      The Client Number does not exist in the BCTS Admin. This does not mean that the Client Number doesn't exist in the CLIENT SYSTEM.

      You should...
      Click the New button on the Registrant screen to add the client as a new Registrant to BCTS Admin.

     

  4. Click the New button.
  5. The following fields will be automatically populated based on the information in the CLIENT SYSTEM:
    • Name
    • Status
    • Joint Venture
    • Location
    • Address
    • Phone (bus.)
  6. You can now enter the Registrants details in the bottom portion of the form. The fields you must enter are:
    • TSO
    • Original Registration Date
    • Expiry Date
    • Category
    • Mill Type
    • Debarker Chipper (DC)
    • DC Exemption
    • DC Exemption to Date
    • Comments
  7. Always remember to save your work by clicking the Save button.

The following fields are not used when adding a new registrant:

  • Registration Renewal Date
  • Deactivation Date
  • Disqualified Date
  • Disqualified to Date
  • Disqualification comments
  • Previous Category

 

Edit an existing registrant

Follow these steps to EDIT an existing registrant:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Registrant button on the main menu bar.
  3. Enter a Client Number that exists in the CLIENT SYSTEM & that is for your TSO.
  4. Click the Search button.
  5. The Registrant details are displayed on the screen.
  6. You can edit the fields in the bottom portion of the form. Here are some examples of fields you may wish to edit:
    • Registration Renewal Date - enter this date when a Registrant renews their registration with BCTS.
    • Deactivation Date - enter this date if the Registrant needs to be deactivated from BCTS Admin.
    • Disqualification Comments - enter a reason why the Registrant is disqualified. Remember, all users can see the data you enter!
  7. Always remember to save your work by clicking the Save button.

The fields in the top portion of the form can not be edited in BCTS Admin. This data comes from the CLIENT SYSTEM. If you require a change to this data, you must do this in the CLIENT SYSTEM.

 

View registrant details

Follow these steps to VIEW data for an existing registrant:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Registrant button on the main menu bar.
  3. Enter a Client Number that exists in the CLIENT SYSTEM. This Client Number can be for any TSO.
  4. Click the Search button.
  5. The Registrant information is displayed. If the registrant is for your TSO, you will also be able to edit the information.

Tips

Understanding System Links
If you are having trouble using the Registrant form, remember that the form is dependent upon the Client Number field. If you do not enter this field, you will not be able to see any data on this form. The Client Number must exist in the CLIENT SYSTEM.

As a general rule, remember to check the CLIENT SYSTEM before attempting to add a new registrant to BCTS Admin.
