ADD/EDIT A TIMBER SALE

How To

This module is useful for you, If you would like to learn how to :

  • Add a new Timber Sale to BCTS Admin
  • Edit an existing Timber Sale for your TSO
  • Delete an existing Timber Sale for your TSO
  • Browse existing Timber Sales for your TSO or another TSO

Add a new Timber Sale

Follow these steps to ADD a new Timber Sale to BCTS Admin:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Timber Sale button on the main menu bar.
  3. Enter the Timber Sale Number.

    There are two key points to remember about Timber Sale Numbers:

    The Timber Sale Number must exist in the FTA SYSTEM before it can be added to BCTS Admin. If it does not BCTS Admin will not accept it.

    You can only add a new timber sale for your Timber Sales Office (TSO). You can view timber sales from other TSO's but you can not add or edit these timber sales.

  4. Click the Search button. This allows you to search BCTS Admin to ensure that the Timber Sale has not been previously entered (for example, in case the Timber Sale existed previously and is now offered for re-sale).
  5. Click the New button. This allows you to enter the new Timber Sale in BCTS Admin.
  6. The Sale Date field will automatically default to a blank field. Enter the date of the Timber Sale in this field. The date should be entered as DD-MMM-YY.
  7. The Sale Date is necessary to uniquely identify the Timber Sale.

  8. The Tenure & Appraisal Data Section of the window is automatically populated. This data flows into BCTS Admin from the FTA SYSTEM & GAS SYSTEM. The following fields will be automatically populated:
    • Category - this field is populated from the FTA SYSTEM.
    • Upset Rate - this field is blank if the timber sale is a multi-mark otherwise this field is populated from the GAS SYSTEM.
    • Initial Deposit - this field is populated from the FTA SYSTEM.
    • Volume (m3) - This field is populated from the FTA SYSTEM.
    • MPS/CVP - this field is blank if the timber sale is a multi-mark otherwise this field is populated from the GAS SYSTEM.
    • MPS % - this field is blank if the timber sale is a multi-mark otherwise this field is populated from the GAS SYSTEM.
    • TSO - this field is populated from the FTA SYSTEM.

     

    You can not edit the information that displays in the Tenure & Appraisal Data section of the form. This data is automatically displayed based on information in the FTA SYSTEM & GAS SYSTEM.

     

  9. It is mandatory for you to enter the information relevant to the Timber Sale in the BCTS Timber Sale Data Section of the screen. If you do not enter these fields, you will not be able to save the Timber Sale. The fields in this section are automatically defaulted to the values in the Tenure & Appraisal Data Section. You should examine this information and leave it as it is, or modify it based on your knowledge of the Timber Sale. All of the fields are mandatory except Location. However, it is recommended that you also include the Location. The fields are as follows:
    • Category
    • Upset Rate
    • Initial Deposit
    • Volume (m3)
    • MSP/CVP
    • MPS%
    • Location
    • Time of Sale


  10. Always remember to save your work by clicking the Save button. You can now add bid information to this Timber Sale. To learn how, visit the Add/Edit a Bid module in this tutorial by clicking here.

If you make an error entering the Timber Sale data, you can return to this form and edit the data. However, you only have two weeks from the Sale Date to edit the data. After two weeks, the record is locked and is not editable.

 

Edit an existing Timber Sale

Follow these steps to EDIT an existing Timber Sale:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Timber Sale button on the main menu bar.
  3. Enter a Timber Sale Number that exists in the FTA SYSTEM & that is for your TSO.
  4. Click the Search button. This allows you to search BCTS Admin for the existing Timber Sale.
  5. The Timber Sale details are displayed on the screen. The Search will display the Timber Sale for the most recent Date of Sale. You can select a different Date of Sale by using the drop list provided next to the Date of Sale field. If the Timber Sale does not exist, the data will not display in BCTS Admin and you will not be able to edit it. You will receive one of the following messages:
    • The Timber Sale Number entered was invalid. This indicates that the Timber Sale Number does not exist in the FTA SYSTEM.
    • The Timber Sale Number exists in the FTA SYSTEM but does not exist in BCTS Admin. If this is the case, you must add the Timber Sale to BCTS Admin. See the instructions "Add a New Timber Sale" above to help you with this!
  6. You can now edit the details in the section of the screen labeled BCTS Timber Sale Data (this is the bottom section of the screen)
    • For example, you may wish to edit the Initial Deposit. To do this, simply navigate to the Initial Deposit field, enter the new amount.
    • Remember, the Timber Sale data is locked 2 weeks after the date of sale. After this time, you will not be able to edit the data regardless of your TSO or status in BCTS Admin.
  7. Always remember to Save your work by clicking the Save button.

The fields in the Tenure & Appraisal Data section of the screen can not be edited in BCTS Admin. This data comes from the FTA SYSTEM & the GAS SYSTEM.

 

Delete a Timber Sale

Follow these steps to DELETE an existing Timber Sale:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Timber Sale button on the main menu bar.
  3. Enter a Timber Sale Number that exists in the FTA SYSTEM & that is for your TSO.
  4. Click the Search button. This allows you to search BCTS Admin for the existing Timber Sale.
  5. The Timber Sale details are displayed on the screen. The Search will display the Timber Sale for the most recent Date of Sale. You can select a different Date of Sale by using the drop list provided next to the Date of Sale field.
  6. You can now delete the Timber Sale by clicking the Delete button.
  7. Always remember to Save your work by clicking the Save button.


Remember, you only have two weeks from the Sale Date to edit or Delete a Timber Sale.

 

View Timber Sale Details

Follow these steps to VIEW data for an existing Timber Sale for your TSO or another TSO:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Timber Sale button on the main menu bar.
  3. Enter a Timber Sale Number that exists in the FTA SYSTEM. This can be for any TSO.
  4. Click the Search button. This allows you to search BCTS Admin for the existing Timber Sale.
  5. The Timber Sale details are displayed on the screen.

Tips

System links are key!
It is important to note that you will not be able to use the Timber Sale screen until you enter the Timber Sale Number. This number must exist in the FTA SYSTEM before it can be added to BCTS Admin. Therefore, it is recommended that you perform a search in the FTA SYSTEM to retrieve the number prior to entering your Timber Sale data into BCTS Admin.

Your authority is important
Another important point to remember is that you can only add, edit & delete Timber Sales associated with your TSO. However, you can view Timber Sale data from any TSO.

Understanding Multi Marks
BCTS Admin was not developed to accurately capture Multi Timber Mark data, therefore, if you are required to enter data for a Multi Timber Mark, you can put in the Master Mark as the Timber Sale Number. You can then enter average data for the remainder of the fields. Please note that the Multi Mark data issue is currently under active consideration for future enhancements.
