How To

This module is useful for you, If you would like to learn how to :

Add/Insert a new bid

Follow these steps to ADD a new bid for a Timber Sale:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Bids button on the main menu bar. The Timber Sale Bids screen displays.
    • You can also access the Timber Sale Bids screen from the Timber Sale screen. On this screen there is an Add Bidders button. Click this to navigate to the Bid form for that Timber Sale.
  3. Enter the Timber Sale Number
  4. There are a few key points to remember about Timber Sale Numbers:

      The Timber Sale Number must exist in the FTA SYSTEM before it can be added to BCTS Admin. If it does not BCTS Admin will not accept it.

      In order to add Bid information to a Timber Sale, the Timber Sale Number must also exist in BCTS Admin prior to accessing the Timber Sale Bids screen.

      You can only add new bid information for Timber Sales in your Timber Sales Office (TSO). You can view bid information from other TSO's but you can not add or edit these timber sales.

  5. Click the Search button.
  6. The Date of Sale field will be automatically populated with the most recent Date of Sale. If you need to enter bid information for a previous Date of Sale, simply select that date from the drop-list.
  7. The BCTS Timber Sale Data section will be automatically filled with the data previously entered on the Timber Sale screen.

    You can not edit the information in the BCTS Timber Sale Data section on this screen. You will need to return to the Timber Sale screen if you are required to edit this data.

  8. There are two additional fields in the BCTS Timber Sale Data section that are optional:
    • Approved By Timber Sale Manager or Designate - enter the individual who is approving the sale.
    • Approved Date - enter the date the sale is approved.
  9. To enter bid information, scroll to the bottom portion of the screen and click the Insert button. This allows you to insert a new row of bid information. The row will be highlighted on the screen.
  10. Enter the following information in the highlighted row (tip: this information should be the same information you have recorded on the FS69 Form). Once you enter a field, you can use the Tab key on your keyboard to move to the next field!
    • Client Number - this is the Client Number of the bidder. Remember, the Client Number must exist in the FTA SYSTEM & in BCTS Admin.
    • Client Name - once you enter the Client Number, the Client Name will automatically populate.
    • Bonus Bid -you must enter the Bonus Bid amount.
    • Security Form - you must select the proper Security Form from the drop-list.
    • Deposit Amount - you must enter the Deposit Amount.
  11. Once you have entered these mandatory fields, you can click the Save button to save this row of data.
  12. Your next task is to verify whether this registrant is eligible to bid on the Timber Sale. You learned how to do this in the last module - the Check Eligibility Module. Remember, you can click the Check Eligibility button on this screen to navigate you to the Eligibility screen.
  13. Once you have checked the eligibility status, you must complete the following fields on the bid screen:
    • Ineligible - If the bidder is ineligible to bid on this Timber Sale, select Yes from the drop-list.
    • Ineligibility Comments - If the bidder is ineligible, you should enter a comment explaining why. This will be helpful to yourself and others as they examine the bid information at a later date.
  14. There are two additional fields on this form that you can enter details into:
    • Return of Deposit - if you have returned a bidders deposit, you must select Yes from the drop-list otherwise select No.
    • Successful Bidder - one bidder will be the successful bidder for the Timber Sale. You must select Yes from the drop-list for this bidder. For all other bidders, you must select No.
  15. Click the Save button once you have completed entering all the information for the bidder.
  16. When you are ready to enter a subsequent bidder, click the Insert button. A blank row will display. Repeat steps 9-15!

Edit an existing bid

Follow these steps to EDIT an existing bid:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Bids button on the main menu bar. The Timber Sale Bids screen displays.
  3. Enter the Timber Sale Number.
  4. Click the Search button.
  5. The Date of Sale field will be automatically populated with the most recent Date of Sale. If you need to modify bid information for a previous Date of Sale, simply select that date from the drop-list.
  6. You can now edit information for a bidder. Simply select the row corresponding to the bid information you wish to edit.
  7. Always remember to save your work by clicking the Save button.
Delete a bid

Follow these steps to DELETE an existing bid:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Bids button on the main menu bar. The Timber Sale Bids screen displays.
  3. Enter the Timber Sale Number.
  4. Click the Search button.
  5. The Date of Sale field will be automatically populated with the most recent Date of Sale. If you need to modify bid information for a previous Date of Sale, simply select that date from the drop-list.
  6. To delete a bidder, select the row corresponding to the bid information you wish to delete. This row should be highlighted.
  7. Click the Delete button on the bottom portion of the form.

View a bid

Follow these steps to VIEW an existing bid:

  1. Ensure you are properly logged onto BCTS Admin.
  2. Click the Bids button on the main menu bar. The Timber Sale Bids screen displays.
  3. Enter the Timber Sale Number.
  4. Click the Search button.
  5. The Date of Sale field will be automatically populated with the most recent Date of Sale. If you need to modify bid information for a previous Date of Sale, simply select that date from the drop-list.
  6. You can now view any data on this form.

Tips

Understanding System Links - Timber Sale Number!
If you are having trouble using the Bid screen, remember that the screen is dependent upon the Timber Sale Number field. If you do not enter this field, you will not be able to see any data on this screen. The Timber Sale Number must already exist in BCTS Admin. To refresh your memory of how to add a Timber Sale to BCTS Admin, visit the Add/Edit a Timber Sale Module.

Why won't the Bid screen accept the Client Number?
If the Bid screen won't accept the Client Number you are trying to enter, first ensure that the Client Number exists in the CLIENT SYSTEM and the client exists as a registrant in BCTS Admin. If you need a refresher on adding a registrant to BCTS Admin, visit the Add/Edit a Registrant Module.

Why does data sometimes appear as only # symbols?
If you are entering numeric data and it only appears as # symbols, you need to widen the column you are entering the data into. Simply position your mouse so the cursor is over the side of the text box (at the edge of the column), click & hold your mouse button down as you drag the field to make it larger (note: if you use EXCEL, you will notice that this is much like widening the columns in EXCEL).

Can the FS69 Form be generated in BCTS Admin?
Yes, the FS69 Form can now be generated directly in BCTS Admin. The data you input during the bid process will allow you to generate this form. See the Reports Module to learn more about the FS69 and other Reports available in BCTS Admin.

The Check Eligibility button isn't working
If you want to check the eligibility of a registrant from the Bid screen, you must ensure that the registrants bid information has been entered on the Bid screen & the row is highlighted before clicking the Check Eligibility button.

Is there a way to increase the size of the Ineligible Comment field?
If you want to put a lengthy comment into the Ineligible Comment field, you need to click the button next to this field. This opens a new screen with a larger text area to enter comments.
