Before you leap into the actual implementation, take some time to ensure you are adequately prepared. Remember that a little time spent preparing can go a long way towards ensuring your implementation is a successful one. So, gather your project team and complete these tasks:

  1. Determine the scope;

  2. Identify stakeholders and associated implementation issues;

  3. Map out activities and resource requirements;

  4. Assemble the action plan;

  5. Communicate;

  6. Update & report on progress.
The Tasks
 
Determine the Scope
  • Describe your project. Being mindful of the environment of fiscal restraint, confirm the scope and feasibility of your implementation project.

    • Do you want to go full scale or would your needs be better met with a pilot project?

    • Be clear about what your target area is (i.e. the entire organization, one site, your program, your unit) and what it is that you want to accomplish.
     
  • Clearly define the expected results and measures of the implementation project.
 
 
 
 
Identify Stakeholders & Associated Implementation Issues
  • Identify the people involved. Confirm your:

    • project participants;

    • potential champions; and

    • areas of leadership and clinical support.
     
  • Examine some of the key implementation issues. For example:

     
  • Begin thinking about ways to implement and the pros/cons associated with your ideas.
 
 
 
 
Map out Activities & Resource Requirements
  • Break the project down into categories based on the implementation issues that you've considered. This will clarify the areas of action.

    • Subdivide the tasks and activities involved into their relevant categories.

    • Assign priorities to each action (e.g. high, low or numerical).

    • Schedule a date that actions should be completed by.

    • Develop an implementation timetable by matching tasks to completion dates.
     
  • Consider your resource implications - how much time, money, energy and supplies are involved? For planning purposes - have a look at the:

    • Assessing Implementation Readiness Document (PDF); or

    • Environment Readiness Assessment Form (Word, PDF).

Assemble the Action Plan
  • Using the information you've assembled, create your action plan (Word, PDF) with the steps you need to take, who will be responsible for the work, dates that you need to have things done by and the resource implications. The action plan will be the "road map" for your project implementation.
 
 
 
 
Communicate
  • Communicate and share your plans to engage key stakeholders early in the process. These folks have important sources of information such as: the extent of the problem, the unmet needs, and the motivation required to address the issue.
     
  • Assess the environmental readiness (Word, PDF)to see what needs to be done in order to be ready to implement your project.
 
 
 
 
Update & Report on Progress
  • Update your action plan - Use the information from the environmental readiness assessment, your stakeholders' feedback, and other consultations or endorsements you've received to revise your action plan. Outline your intentions and plans, timelines, budget and information about costs and benefits. Revise the action plan and other documents or tools throughout the project as necessary.
     
  • Report on action plan and activities-to-date to your sponsor or commissioning group - and to other interested parties.
